Standard Events vs. Private Events
- Standard Events - Space remains open to the public with event guests receiving unlimited play and priority use on all games.
- Private Events - Space is closed to the public and only event attendees are within the space. Private events may be required for events involving minors or when alcohol is being catered. Please contact the Corner Pocket ([email protected]) for more information.
Early Open & Late Closing Fees
There are additional fees for opening and closing the Corner Pocket facilities/venues beyond regular hours of operation. All early openings and late closings require special approval to ensure adequate staffing is available.
For example, if your event is taking place in the Side Pocket from 11am-1pm, you will be charged for a 3-hour reservation instead of 2. This fee is to cover the cost of staffing, as the Recreation Assistant on duty will need to arrive 30 minutes before the event start time to set-up as well as stay 30 minutes after the event for clean-up.
Major Set-Up Fees
- For events requesting a major change from the standard layouts, there may be an additional set-up fee added to the reservation invoice.
- Only Student Centers staff should move, arrange, setup or strike event furniture and equipment.
- Major set-up fees based on the space:
- $100 for Corner Pocket
- $50 for Side Pocket and the Corner Pocket Patio
- Changes will only be made if staffing and resources are available. Student Centers reserves the right to deny a setup change requested less than 24 hours prior to the event, as most events will not have additional staffing or set-up time.
- Clients will also be charged a major setup change fee if they remove furniture or resources from spaces that they have not reserved for use at their own event/location.
Damage & Cleaning Fees
- As a Registered Student Organization (RSO) renting the Corner Pocket Game Room, Side Pocket, or Corner Pocket Patio spaces, please know it is important to help us keep our space clean and equipment working in proper order. Fees may be incurred for excessive cleaning or damage to the space and/or equipment.
- Before your event ends, please communicate with a Recreation Assistant or Supervisor on duty to avoid receiving any additional penalty fees. Failure to leave the Corner Pocket Game Room, Side Pocket, or Corner Pocket Patio areas in a clean and orderly manner may result in a cleaning fine up to $250. Damages will be assessed and billed appropriately based on market rates.
- Broken Equipment Fees

Cancellation, No-Show, & Rescheduling Policy
- Events reserved in the Corner Pocket, Side Pocket, or Corner Pocket Patio must be cancelled at least one business day before the event start time to avoid a fee. Events cancelled with less than one business days’ notice will incur a late cancellation fee of $75 which will be charged to the org code on file.
- In the case of a no-show without notice, the Corner Pocket reserves the right to charge a no-show fee up to the originally invoiced amount for the reservation. No-show fees will be assessed on a case-by-case basis by the Corner Pocket team. If you have any questions about a no-show fee charged to your organization, please contact the Corner Pocket at [email protected].
- Any changes to the event date or time must be sent in writing to the Corner Pocket email ([email protected]) prior to the event start time. Events rescheduled with less than one business days’ notice will incur a late cancellation fee of $75 which will be charged to the org code on file.

- All events wishing to have food and/or beverages as a part of their event need to either use an Approved Caterer if their event is catering or for non-catered events, use a Food Establishment. The list of approved caterers is available online at Approved Caterers.
- Catering is defined as when an Approved Caterer manages the entire food and/or beverage service for the event from start to finish, including all set-up, service during the event, breakdown, and the removal of all food, beverages, and service items from George Mason property.
- A food establishment (or food provider) is defined as a vendor that supplies food and/or beverages but does not control the full, continuous process of service. This may include establishments such as grocery stores, restaurants, or delivery services (e.g., pizza delivery), where food is prepared off-site and simply delivered or picked up. If using a food establishment instead of an Approved Caterer, the provider does not have to be on the Approved Caterer list, but all applicable event guidelines must still be followed.
- If your preferred caterer is not an Approved Caterer, individuals may direct any catering company, restaurant, Food Truck, or Food Establishment to apply on George Mason’s Auxiliary & Business Services (ABS) website for Approved Caterer status. The Approved Caterer Licensing Agreement identifies the requirements for performing catering within George Mason Facilities. It may take up to four weeks for approval once all the correct documentation is received via the web portal (or up to eight weeks if documentation is submitted via email, mail, or fax).
- All food and/or beverages distributed must be commercially prepared (no “home-baked” goods) and should be individually sealed/pre-packaged by the Food Establishment.
- Beverages provided in bulk serving containers are allowed only if they are procured from an Approved Caterer or Food Establishment in their final form.
- If food is provided by a Food Establishment, the sign found on page 12 of the Food and Beverage at Events Procedure must be placed on all tables and areas where an event attendee will receive food.
- If food is not individually sealed/pre-packaged by the Authorized Food Provider, then appropriate food handling standards must be followed. An example would be distributing individual donuts/pizza slices from a commercially packaged box.
- Any products and/or services sold or given away must not directly compete with the University’s current contracts, which include, but are not limited to: Chartwells, Coca- Cola, Canteen Vending Company, Panda Express, Manhattan Pizza, Chipotle, and Panera Bread.
- Any grill or other cooking appliance that is not for personal use must be approved by the Risk, Safety, and Resilience Office for the location being used.
- Events serving alcohol will require special approval and, in most cases, must be made a private event. All alcohol served on campus must be served by an Approved Caterer with the appropriate ABC liquor license. The location of the event with alcohol must be approved in advance.

- The Corner Pocket Game Room has a variety of in-house furnishings which come complimentary with your event reservation. Items include 3ft by 6ft tables, 1.5ft by 6 ft tables, 30–36-inch round tables, high top tables, plush chairs, and standard event chairs.
- The Side Pocket event space includes use of a projector and screen however the space does not come equipped with an in-house sound system. A karaoke machine is available for use for an addition $100 fee.
- The Corner Pocket Patio includes complimentary use of lawn games including Giant Connect Four, Kan Jam, Cornhole, and tabletop Jenga.

Decorations
- Tape and/or adhesive is not allowed on the floor in any event space.
- Scotch tape, duct tape, thumbtacks, or any other strong adhesive is not allowed on any surface in the facilities.
- Only adhesive allowed on walls, glass, dry erase boards, or easels is blue painter's tape.
- No decorations, banners, or other materials may be hung from the ceiling in event spaces.
- No glitter is allowed in any event space – the use of glitter will result in an automatic cleaning fee.
- Other similar products, if not cleaned up by clients at the end of an event, may result in cleaning fees (including confetti, sequins, and other similar items).
- No signs or other types of postings are allowed outside of the reserved event space, including the doors leading into the event space, without prior approval from Corner Pocket Staff.
Additional Policies & Procedures
- The only animals allowed in the facilities are service animals.
- Smoking, e-cigarettes, and vape pens are not allowed in the facilities.
- Open flames are prohibited in the facilities including but not limited to candles and incense.
- Please ensure that egress routes are kept clear of obstructions and that fire exits are always accessible.
- Cords and cables should not be run across doorways or entry points.
- Event and building patrons must follow all fire safety guidelines as outlined in the Campus Fire Safety Plan.

External Clients

Reservation Process
External clients interested in hosting an event at the Corner Pocket should submit a request using the External Client Request Form. Prior to submitting a request, interested clients may contact the Corner Pocket at [email protected] regarding date and time availability, as well as to schedule a space walkthrough.
Once an External Client Request Form is received, the Corner Pocket contract manager will tentatively reserve the space, create an invoice, and draft a contract, which will be sent to the client. Upon receiving the contract and invoice, the client has 60 days (may be shorter depending on the lead time for the event date) to sign the contract and submit a deposit for 20% of the event cost. Once the signed contract and deposit are received, the space reservation will be fully confirmed.
Please note: All external events held on campus are required to carry insurance and provide the contract manager at least 30 days prior to their event with a Certificate of Insurance that names George Mason University as “Additionally Insured” (or the Certificate Holder).
The insurance requirements are as follows:
- Commercial General Liability in an amount no less than $1M per occurrence with a $2M aggregate
- If minors are present, Sexual Abuse and Molestation in the amount of no less than $1M with a $2M aggregate.
- An Umbrella/Excess policy in an amount not less than $1M to apply over and above the above insurances.
Clients who do not currently have insurance coverage can purchase a one-day policy, which meets the University’s requirements through TULIP.

Parking passes are available for purchase through the external event contract process. Accrued fees will be applied to the final bill. Pass requests must be submitted at least one week in advance.
