Frequently Asked Questions
There are special fees for opening and closing the Corner Pocket facilities/venues beyond regular hours of operation. All early openings and late closings require special approval to ensure adequate staffing is available. Early Open and Late Close Fees are charged at a rate of one additional hour.
For example, if your event is taking place in the Side Pocket from 11am-1pm, you will be charged for a 3 hour reservation instead of 2. This fee is to cover the cost of staffing, as the Recreation Assistant on-duty will need to arrive 30 minutes before the event start time to set-up as well as stay 30 minutes after the event for clean up.
For events requesting a major change from the standard layouts, there may be additional set-up fee added to the reservation invoice.
Only Student Centers staff should move, arrange, setup or strike event furniture and equipment.
Major set-up fees based on the space:
- $100 for Corner Pocket
- $50 for Side Pocket and the Corner Pocket Patio
Changes will only be made if staffing and resources are available.
Student Centers reserves the right to deny a setup change requested less than 24 hours prior to the event, as most events will not have additional staffing or set-up time.
Clients will also be charged a major setup change fee if they remove furniture or resources from spaces that they have not reserved for use at their own event/location.
EXTERNAL CLIENTS AND ORGANIZATIONS
External users who cancel reservations in the Corner Pocket, Side Pocket, or Patio reservation should refer to their contract agreement.
Events reserved by internal organizations in the Corner Pocket, Side Pocket, or Patio must be cancelled at least one business day in advance of the event start time in order to avoid a fee. Events cancelled with less than one business days’ notice will incur a late cancellation fee of $75.
If the group is a “no show,” a fee of $100 for Corner Pocket space and $30 for Side Pocket/Patio space will be assessed.
Events clearly labeled as “Rain Location” in 25Live will not be charged any fees if the client ends up not needing the rain location site. This will not be considered a “no show.” If you reserve several spaces for your event and do not use any one of your assigned spaces, you will be charged a “no show” fee for each space not utilized during your event. Be sure to release any spaces you will not need at least one business day in advance of your event start time in order to avoid a fee.
FOR RESIDENt STUDENT ORGANIZATIONS (RSO's)
RSOs will receive email notification of a cancellation or “no show” infraction within three business days of the offense. Once notification has been sent, RSOs have three business days to remit payment for the fine (see below for payment instructions). If payment is not received within three business days of the email notification, the RSO in question will not be able to make any new reservations until payment has been received.
Payment can be made at the Corner Pocket front desk located in The Hub Mid-Level.
Booking the Corner Pocket game room means that an organization or department is paying a flat hourly fee so it’s members can play games and utilize the space without having to pay from the individuals own pocket. As an event your organization receives priority access to all gaming equipment. If food and beverages are served, we provide a section for you to display and serve in an area of your choosing within the game room.
The Corner Pocket Staff will politely inform customers entering the space during your event that an event is taking place and only unused gaming equipment by your group may be available but not guaranteed.
The Corner Pocket Staff does not ask customers to leave the space nor do we prohibit students from entering the space unless it is a private event, which external rates apply.
Any Mason student organization or department wishing to limit the general public from accessing unused gaming equipment or the general spaces may do so by paying the external rate. This allows us to hire additional staff support for your event.
For the safety of all patrons, events with minors are closed to the general public. Events with minors are considered private events and therefore the external rates apply.
All events with alcohol will be considered private events and university guidelines must be followed with a licensed and approved caterer onsite.
External individuals and organizations seeking to book the Corner Pocket Game Room, Patio, or Side Pocket lounge will first complete our online reservation request. A member of our team will process your request and connect you with a University Events Representative who will finalize your reservation for the date you requested. The University Events representative will provide a contract and instructions for payment. Corner Pocket Reservations are not finalized until a contract has been signed with the Office of University Events. Reservation Deposit: External individuals and organizations booking the Corner Pocket for an event are required to pay a non-refundable deposit. A reservation deposit in the amount 20% of the total rental invoice due with the contract. After your event, the final amount on your invoice is due per specifications outlined in your contract. If your event is booked within 30 days of the event date, the full room fee is due at the time of the contract. Any event canceled within 30 days of the event, is subject to paying the full room fee.
We are excited you have chosen Corner Pocket to host your event. As a Mason student organization, department, or visitor renting the Corner Pocket Game Room, Side Pocket, or Patio spaces, please know it is important to please help us keep our space clean and equipment working in proper order. Fees may be incurred to an organization/department for excessive cleaning or damage to the space and equipment. Before your event ends please communicate with a Recreation Assistant or Supervisor on duty to avoid receiving any additional penalty fees. Failure to leave the Corner Pocket Game Room, Side Pocket Lounge, or Patio areas in a clean and orderly manner will result in a cleaning fine up to $250. Damages will be assessed and billed appropriately based on market rates
